JOB TITLE: Purchasing/Receiving Coordinator
CLASSIFICATION: Administrative/Technical
REPORTS TO: Field Superintendent or Purchasing Manager

This job description outlines representative job duties associated with the position, but is not
intended to be a complete or exclusive description of all possible assignments and tasks the
individual employee may encounter in the course of work To meet the needs of the workplace,
an employee may be required to perform other duties as assigned.


POSITION DESCRIPTION:
Responsible for material handling, including placing purchase orders, receiving, storage and
record keeping to meet the needs of division projects. Necessary skills include daily ordering
of approved materials by telephone with approved vendors, using PO system, data entry input
into the Purchase Order system, recording receipt of materials, and maintenance of Inventory
records. Duties may also include material pick up and delivery, receiving and storage of
supplies, and pulling and bundling supplies for jobs and work crews. Reviews all receiving
reports, checks bills of lading and freight bills for correct quantity and items delivered.
Inspects deliveries for damage or shipping errors. Documents all withdrawals from inventory.


ESSENTIAL SKILLS AND KNOWLEDGE:


Experience with pipe fabrication, with knowledge of sprinkler industry parts and fittings
preferred. PC computer skills to perform data entry and other accounting system operations
related to purchasing, receiving and inventory. Ability to communicate by telephone and in
writing to vendors and suppliers. Able to understand receiving reports, bills of lading and
freight bills to review and verify quantity received. Inspects deliveries for accuracy and any
damaged goods. Assures that all withdrawals from inventory are properly documented.
Attention to detail for inventory records and delivery invoices. Requires valid driver's license
to allow use of company vehicles for delivery and pick up assignments.


MAJOR JOB FUNCTIONS

I. ORDERS MATERIALS
A. Places orders as requested by field superintendents and design personnel.
B. Confirms availability of ordered items, pricing and discounts.
C. Verifies accuracy of order.
D. Expedites orders requiring immediate delivery.
E. Ananges job site delivery to meet production schedule and emergencies.
F. Uses computerized PO system effectively and accurately.
G. Maintains accurate records to post ordered materials to correct job name and
number.
H. Maintains and updates MSDS (Material Safety Data Sheets) received from
vendors.


II. MATERIAL HANDLING & STORAGE


A. Receives deliveries from outside vendors, as well as VSC employees.
B. Checks material delivered against Packing List or other delivery record to insure
order is correct. Prepares receiving reports as directed, identifying job name and
number as needed.
C. Stores accepted materials correctly and maintains accurate records. (Coordinates
with shop personnel depending on division staffing.)
D Pulls materials for job or customer, bundling and packaging items to insure safe,
accurate and undamaged transit. Prepares shipping report or pull sheet.
E. Maintains accurate records of items sent, items not available, to insure appropriate
action as necessary by customer, work crew, and design staff.
F. Reports stock item shortages to supervisor and places approved orders.
G. Occasionally may handle material sold to other customers, handling packing list
and pricing of items, as well as payment and record keeping.
H. Drives to job site or vendor for pick up/delivery of material in a timely, accurate
fashion.


III SHOP MAINTENANCE


A. Maintains all material and equipment in the shop to insure safe and clean working
environment and storage areas.
B. Cleans shop area regularly, including floors, shelving and equipment areas.
C. Organizes and maintains a system for material storage to ensure easy
accessibility and retrieval of all shop inventory and that stacking is done safely.
D. Insures that damaged material or equipment is repaired or replaced as necessary.

III OTHER DUTIES


A. Fabricates small jobs as needed, using shop equipment.
B. Determines necessary materials, using equipment to thread, cut or groove pipe as
required.
C. Drives company vehicle to perform office errands as requested.
D. Assists with physical inventory preparation and inventory count as necessary.
E. May be responsible for interior or exterior building and grounds maintenance as
directed.                                                                                                                                                                                                                                                                                                                                               F. May perform other clerical or administrative duties as required by division office.


IV. SAFETY TRAINING


A. Follows all safety standards (as directed by VSC safety program.)
B. Reports ALL accidents and injuries to supervisor.
C. Follows all dress requirements for warehouse work, including safety glasses, or
other protective devices when required.
D. Follows M.S.D.S. (Material Safety and Data Sheet) recommendations when
working with hazardous materials.


JOB REQUIRBMENTS:


Individual works in office/warehouse environment utilizing company computers, various
fabrication equipment and tools. Position requires visual acuity and literacy to perform data
entry, read purchase orders, bills of lading, and other inventory records.
PC skills required to perform data entry, complete computerized record keeping in company
software.
Requires valid drivers license to allow use of company vehicle for delivery and errands as
needed. Must be able to maintain seated position for computer work and/or road travel as
needed.
Must be able to lift and move a 50-75Ib. piece of pipe or bundle. (Assistance may be
available when needed.) Occasional use of ladders for maintenance and storage tasks.
May require certification to operate material handling equipment such as lifts, hoists, fork lifts
and palletjacks.


JOBIJAZARDS:


May lift and move 75-125 pounds of equipment or supplies. Uses a variety of hand and
machine tools for pipe fabrication. May use JAZCOM materials. May operate electrical,
hydraulic and pneumatic equipment using safety equipment and safety procedures. May
operate material handling equipment requiring special training and certification.
When delivering materials to job sites, may traverse rough terrain and hard-hat construction
areas. Must remain alert to job-site hazards and safety requirements.
